We are seeking a compassionate and highly organized Office Administrative Coordinator to join our outpatient hospice team. This individual serves as the central hub for administrative, HR, and communication support—ensuring seamless coordination between office operations, clinical disciplines, and patient care.

Spanish speaking candidates are highly recommended due to regular interaction with diverse patients, families, and staff.

Key Responsibilities

  • Staff Onboarding & Training
    • Facilitate orientation and training for new employees
  •  
    • Maintain onboarding documentation and processes
  •  
  • Administrative & Scheduling Support
    • Schedule and confirm appointments for staff and patients
  •  
    • Send and manage emails, faxes, and routine correspondence
  •  
  • Human Resources Coordination
    • Assist in managing HR tasks for new and existing employees
  •  
    • Support with employee records, updates, and compliance tracking
  •  
  • Electronic Medical Records Management
    • Enter and maintain data within the EMR system accurately and efficiently
  •  
    • Collaborate with clinical staff for timely documentation
  •  
  • Communication & Coordination
    • Answer incoming calls and direct inquiries appropriately
  •  
    • Liaise between field and office staff to ensure timely exchange of information
  •  
    • Coordinate updates across multiple disciplines (nursing, social work, chaplaincy, etc.)
  •  
  • Patient & Family Interaction
    • Communicate with patients and families with empathy and professionalism
  •  
    • Provide information and reassurance regarding hospice services
  •  
  • Hospice Program Knowledge
  • Continually learn and grow understanding of hospice philosophy, services, and regulatory requirements
  • Uphold confidentiality and compassionate care principles

Qualifications

  • Proven administrative experience, preferably in healthcare or hospice
  • Strong computer proficiency with EMR systems and Microsoft Office
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to multitask and maintain attention to detail in a fast-paced environment
  • Spanish language skills strongly preferred
  • Compassionate demeanor and commitment to sensitive patient and family interaction
