POSITION DESCRIPTION:
The Institute Program Coordinator is a member of the Education Department reporting to the Head of Elementary School Programs. This collaborative individual will work as a member of the Alliance Theatre Institute team, partnering with school districts and schools to deliver professional learning for educators and arts integrated or theater-based instruction for students. They will support programming, including residencies, student workshops, and professional learning events, across all grade levels (Pre-Kindergarten through Grade 12).
The Institute Program Coordinator should have a passion for program administration and a background in the arts and/or education, with a deep interest in the intersection of the two. They should have attention to detail, flexibility to adapt quickly to changing policies, projects, and priorities, and strong communication skills.
Salary Range: Starting at $40,000 WORK SCHEDULE:
Schedule will be full-time regular, Monday-Friday. This role will typically require in-person work 2-3 days per week, with flexibility to work from home around programming demands. Occasional evening and weekend hours required, to be scheduled with ample notice.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Providing administrative support for Institute residencies (i.e. approving and tracking supplies budget, collecting scheduling data and residency evaluations, collecting and tracking residency documentation, providing scheduling support)
- Providing administrative support for Institute professional learning events (i.e. preparing space, testing AV Tech requirements, monitoring workshops for day-of needs)
- Coordinating recurring Institute team meetings, including teaching artist professional learning, social events, and Institute Advisory Team meetings
- Representing the Institute at schools to observe/support programs, including residencies and professional learning workshops
- Coordinating with the Teaching Artist Liaison to send Institute teaching artist communications
- Supporting cross-campus education programs, including the Woodruff Arts Center Educator Conference and Education Luncheon
- Leading the administration of one-time student workshops (i.e. reserving spaces, contracting teaching artists, developing lesson plans, serving as day-of coordinator)
- Coordinating Georgia Wolf Trap Baby ArtsPlay™ program and serving as point of contact for United Way Learning Spaces partnership. Responsibilities include liaising with Learning Spaces staff, coordinating schedules, contracting teaching artists, and representing the Institute at United Way Learning Spaces convenings
- Managing supplies and providing administrative support for Bright from the Start Summer Transition program partnership (i.e., ordering and sorting supplies, creating and tracking schedule forms, collecting evaluation forms, processing LOAs, and sorting data)
- Providing administrative support to special projects in the secondary (middle and high school) space, including Poetry Out Loud, JumpStart Theatre, and Teen Audience Fusion
- Supporting data collection for a variety of end-of-year annual Institute reports
- Attending local and national conferences, such as the Wolf Trap Affiliate conference and the Kennedy Center Partners in Education Annual Meeting
- Copyediting programs, unit plans, and study guides as needed
- Supporting Education Department-wide initiatives as needed
QUALIFICATIONS:

Education and Experience:
- High School Diploma and relevant experience in the field.
- Experience in arts administration, theater, and/or education.
Skills and Abilities:
- Strong oral and written communications skills.
- Ability to effectively and efficiently balance multiple priorities.
- High level of self-direction and mission-alignment.
- Ability to anticipate and solve obstacles with patience and professionalism.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.).
- Experience in a performing arts or cultural organization preferred, but not required
- Experience in a school or other educational environment preferred, but not required
- Ability to travel to schools across the state of Georgia.
